Job Opening: Administrative Coordinator
REPORTS TO: Director of Administration
POSITION SUMMARY: To coordinate the administrative and bookkeeping functions as well as special projects to support the organization.
DUTIES & RESPONSIBILITIES:
- Works collaboratively within all levels of the organization and across departments to cultivate a positive culture and team approach to fulfilling AWS’ mission
- Processes accounts payable, accounts receivable, credit card statements, and reconciles accounts
- Processes cash deposits for all departments
- Coordinates and assists with special projects and events
- Serves as the receptionist for the administrative offices
- Oversees office supply inventory and coordinates purchasing activities
- Collects, sorts and delivers mail and packages, handles all postage needs
- Maintains and updates all subscriptions and memberships
- Maintains files and licenses for general administration, facilities and vehicle fleet
- Remains knowledgeable and in compliance with AWS Personnel Guidelines, applicable State and Federal laws and AWS policies, procedures and programs
- Supports AWS programming as needed
EXPERIENCE/ATTRIBUTES DESIRED:
- Prior bookkeeping and administrative experience required (1-2 years)
- Excellent written and verbal communication skills
- Attention to detail, strong organizational skills, and ability to multi-task
- Self-starting attitude with the ability to work independently as well as part of a team; ability to work with a variety of personalities
- Solid computer skills and competency in Microsoft Office Suite and QuickBooks
- Comfortable learning and using a variety of payment platforms and software programs
- Ability to maintain a high degree of confidentiality
- Ability to lift up to 40 lbs
- Ability to maintain a valid driver’s license
