Programs Coordinator
POSITION SUMMARY: The Program Coordinator is responsible for the administrative oversight of Animal Welfare Society’s Behavior & Training Department and the new satellite Community Veterinary Clinic. Duties include but are not limited to, clients relations, administrative duties, billing and office maintenance and high operating efficiently. The PC oversees, mentors and supports the contracted trainers and clinic support staff to provide exceptional client, internal customer service and program oversight.
DUTIES & RESPONSIBILITIES:
- Works collaboratively within all levels of the organization and across departments to cultivate a positive culture and team approach to fulfilling AWS’ mission
- Supervises and supports contracted AWS trainers and support staff/assigned volunteers, ensuring adequate scheduling, communication and invoicing
- Serve as an onsite Team Lead, supporting the Operations Manager, for the launch of AWS’ PetSmart Clinic, including oversight of day to day operations, all data & reporting requirements.
- As a generalist/administrative support, assist with day-to-day administrative tasks including managing shared email addresses, answering phone calls, scheduling meetings/appointments/trainings, preparing for audits, and other assigned tasks.
- Communicate with clients and external stakeholders on a daily basis in a professional manner
- Monitors training classes and online bookings daily
- Work cross functionally with marketing to develop online and external communication for assigned programmatic areas
- Assists in creating, training and compliance with administrative SOP
- Handle weekly/monthly duties and invoicing for assigned program areas
- Responsible for supplies/inventory of Behavior & Training and the PetSmart Clinic (with support from the appropriate clinical staff)
- Remain knowledgeable and in compliance with AWS personnel guidelines, applicable State and Federal laws and AWS policies, procedures and programs
- Support programs and activities of AWS as requested
- Other duties as assigned
EXPERIENCE/ATTRIBUTES DESIRED:
- High School diploma or equivalent
- Previous medical receptionist or veterinary/animal welfare experience preferred
- Excellent computer skills and preferred knowledge of MacOS, but willing to train the right candidate
- Working knowledge of vaccinations, basic lab tests, common diseases, medications and general pet behavior
- Solid written and verbal communication skills
- Proven ability to multitask and prioritize in a busy environment
- Ability to be resourceful and proactive when issues arise while maintaining a professional, courteous attitude.
