Job Opening: Director of Administration
POSITION SUMMARY: The Director of Administration is responsible for ensuring the activities and operations of the organization are performed effectively and efficiently. This position supports Operations, Development and Community Engagement, and the Executive Director to ensure AWS functions at a high level and is in compliance with all applicable licensing, regulations, and laws. The person in this role is primarily responsible for day-to-day financial management and reporting, human resources activities and compliance, and IT.
DUTIES & RESPONSIBILITIES:
- Work collaboratively within all levels of the organization and across departments to cultivate a positive culture and team approach to fulfilling AWS’ mission.
- Support daily operations of the organization to ensure financial accountability and operational efficiency; seek opportunities for streamlining workflows.
- Negotiate contracts and agreements and maintain relationships with vendors.
- Manage accounts receivable, accounts payable, and purchasing.
- Provide financial reports to the organization’s CPA as needed.
- Support the Executive Director in the preparation of the annual budget and monthly financial statements; prepare for and engage in the annual audit process.
- Track restricted grants/donations and expenditures.
- Ensure accurate accounting of inventory in every department.
- Maintain business records for the organization and ensure compliance with licensing, filing, and reporting requirements.
- Maintain the organization’s Information Technology systems including computer servers and all associated equipment, hardware, and software.
- Maintain copiers, phone system, and other equipment owned by AWS; manage contracts and lease terms.
- Maintain personnel files and perform human resource management functions including, but not limited to employee benefits, insurance compliance, payroll processing/tracking, performance management, and employee relations.
- Remain knowledgeable and in compliance with AWS Personnel Guidelines, applicable State and Federal laws and AWS policies and procedures; be familiar with AWS mission, vision and values, programs, and services.
- Support programs and activities of AWS as requested.
EXPERIENCE/ATTRIBUTES DESIRED:
- Minimum 5 years of financial management experience, non-profit setting preferred
- Minimum 3 years of human resources administration experience
- Proficient in software-based accounting
- Demonstrated communication skills with individuals of all ages, abilities, and backgrounds
- Proven ability to build teams and maintain a positive culture
- Must meet background check requirements
